Job Title:

Practice Administrative Assistant

Job Purpose:

Under the direction of the Clinical Director, the Executive Administrative Assistant will assist with office administrative duties.

Job Responsibilities:

• Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
• Conserves executive’s time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
• Meeting management; assemble background materials, prepare agendas, and record action items for various meetings
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
• Supporting our accounting department by helping reconcile packing slips with invoices and supporting account payable process
• Organize practice meetings and events
• Works independently and within a team to support various ongoing projects
• Organizes and prioritizes large volumes of information and calls
• Answer incoming calls: give directions, schedule appointments and provide basic non-clinical treatment information
• Own your professional development with support from Hamilton Vein; find opportunities for skill development and training
• This position may also support other management as needed
• Other duties as assigned
